Last updated: August 11, 2025

This Privacy Policy describes the policies and procedures of FieldOps owned by Mohammad Aqueel Mohammad Shakeel("We", "Us", or "Our") on the collection, use, and disclosure of Your information when You use our Service. It also tells You about Your privacy rights and how the law protects You.

We use Your Personal Data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

1. Interpretation and Definitions

Service: Refers to the FieldOps web application and associated mobile applications.

Personal Data: Is any information that relates to an identified or identifiable individual.

You: Means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

Organization: Refers to the company or entity that has registered for the Service and to which You belong.

2. Information We Collect and How We Use It

We collect several different types of information for various purposes to provide and improve our Service to you.

2.1. Information You Provide to Us

  • Account Information: When you register an account, we collect your full name, email address, phone number, and password. This is used to create and secure your account, and for communication purposes.
  • Profile Information: You may provide additional information such as a profile picture (photoURL). This is used to personalize your experience within your Organization.
  • Task and Project Data: When you create or complete tasks, you may provide text notes, descriptions, and other related information. This is a core part of the Service's functionality.

2.2. Information Collected Automatically

  • Geolocation Data: We collect your precise GPS location data, including latitude, longitude, and timestamps, when you use features like GPS-based login, attendance punch-in/out, and during active task management. This data is essential for verifying attendance, tracking on-site time, and for AI-powered compliance analysis. You can control location services through your device settings, but disabling it will prevent key features of the Service from working.
  • Media Data: We collect photos and videos that you upload as part of task submission or attendance verification (e.g., selfie check-in). This media is used as proof of work, for quality assurance by supervisors, and as input for our AI-powered compliance analysis tool.
  • Usage Data: We may collect standard technical information, such as your IP address, browser type, device information, and pages visited, to monitor and improve the performance and security of our Service.

3. How We Use Your Information

The Company uses the collected data for the following purposes:

  • To Provide and Maintain our Service: This includes managing user accounts, facilitating task and project management, and enabling communication between employees, supervisors, and administrators within your Organization.
  • For Core Functionality: Your geolocation and media data are used for GPS-verified login, time tracking, attendance logging, and task submission verification.
  • For AI-Powered Compliance Analysis: Our AI tools may process your location data, uploaded media, and task notes to automatically flag potential compliance or safety risks, prompting further review if necessary.
  • To Manage Your Organization: Administrators in your Organization will have access to your data to manage assignments, review attendance, and oversee project progress.
  • For Communications: We use your contact information (email, phone number) to send service-related notifications, security alerts, and, if you opt-in, notifications via WhatsApp.
  • For Billing and Subscription Management: We use organizational data to manage billing, subscription plans, and user limits.

4. Data Sharing and Disclosure

Your Personal Data is primarily shared within your registered Organization to facilitate field operations. We do not sell your Personal Data. We may share your information in the following limited circumstances:

  • Within Your Organization: Your data (name, tasks, location, media) is visible to supervisors and administrators within your Organization as necessary for them to perform their management duties.
  • With Service Providers: We may use third-party service providers (e.g., for hosting, cloud services, and communication APIs like Twilio) who process data on our behalf. These providers are contractually obligated to protect your data.
  • For Legal Reasons: We may disclose your information if required to do so by law or in response to valid requests by public authorities.

5. Data Security

The security of Your Personal Data is important to Us. We use commercially acceptable means, including encryption and access controls, to protect Your Personal Data. However, no method of transmission over the Internet or method of electronic storage is 100% secure. While We strive to protect Your information, We cannot guarantee its absolute security.

6. Data Retention

We will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy and as required by our contractual agreement with your Organization. We will retain and use Your data to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our policies.

7. Your Privacy Rights

Depending on your location, you may have certain rights regarding your personal data. You have the right to access, update, or request deletion of your personal information through your account settings or by contacting your Organization's administrator. Your administrator is responsible for managing user data for your Organization.
